Executive Assistant

Our client, a medical device manufacturing company in New Brighton, is seeking a seasoned Executive Assistant to support C-Suite Executives for a long term contract opportunity (estimated at least 4-6+ months). This position supports the Chief Medical Officer, VP of Regulatory Affairs, VP of Clinical Affairs and VP of Quality & Operations. They will act as the primary point of contact for internal and external constituencies on all matters pertaining to these leaders, primarily performing C-Suite level administrative support (experience required), including handling travel arrangements, calendaring, presentation assistance, and written communication among other tasks. This contract position will be fully on site in the New Brighton area and will start as soon as possible. Only local candidates will be considered.

Duties
  •  Assists 4 Executive Leaders (Chief Medical Officer, VP of Regulatory Affairs, VP of Clinical Affairs and VP of Quality & Operations) with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, agendas, and compiling documents for meetings.
  • Files and maintains documents as needed to ensure accurate recordkeeping.
  • Communicates with the general staff and coordinates logistics with high-level meetings both internally and externally.
  • Coordinates meetings and strategic activities with the Leadership Team, Management Teams, and events.
  • Communicates directly with Board members and others on matters related to programmatic initiatives as directed. 
  • Prepares and coordinates oral and written communications.
  • Supports C-Suite external commitments, including service on external boards, committees and other groups.
  • Supports the Executive Leadership Team as needed to schedule meetings.
  • Provides executive support and coordination for recurring operating meetings involving the C-Suite.
  • Assists with private/personal business administrative tasks as required.
  • Manages Board activities, including coordinating Board meetings; arranging hotel accommodations for Board members; processing travel reimbursement requests; and compiling, assembling & distributing meeting materials.
Requirements
  • Bachelor’s degree or equivalent experience in administrative support or project management.
  • 7-10 years of experience providing support for Executive-level Management.
  • Proven experience in working within a highly confidential role.          
  • Strong experience with scheduling, expenses and presentations
  • Highly proficient with Word, Excel and PowerPoint
