Our company is seeking a skilled front desk administrator to join our team to support Dolphin Group Companies and the entities within. In this role, the Administrative Assistant will be supporting and contributing the staffing and recruiting teams (70%) and HR (30%). This position is fully on site in Roseville, MN, so only local candidates will be considered.
Duties
1.
Ensure the front desk is covered during business hours
Greet guest candidates, employees and vendors with a friendly and helpful presentation
Set up candidates and employees on computers for paperwork and testing
Notify Staffing when a candidate/employee has arrived for an appointment and before a candidate/employee leaves the building; they may have additional follow-up with them
Keep lobby area, interview rooms, and front desk clean and organized
2. Calendar management and preparation
Determine candidate’s/employee’s arriving for daily appointments to establish which client
they are associated with and what will be needed when in the office (ex: presenting I-9
documentation, drug test, client specific paperwork, etc.)
3. Notify staffing before a candidate/employee has arrived for an appointment and inform the recruiter if paperwork is completed
4. I-9 Document Management
Complete Section 2 of I-9 with documents presented by employee
Copy and email any List A doc to HR
5. Background check process
Enter all background checks
Conduct initial examination of the background results and determine initial pass or fail based on criteria
Forward background checks with questionable issues to the Crimes Committee for review
Document all results and attach copies where appropriate
6. Drug test process
Begin the drug test process by scheduling the employee’s appointment, call the employee for follow-up, and send appropriate emails/texts
Document all results and attach copies where appropriate
7. FMLA Notices
Monitor FMLA log daily for employee’s that have missed four or more days of work due to circumstance
Ensure that all eligible and ineligible employees have been sent the appropriate notices
Document employee files accordingly in a prompt manner
8. NAPS – Internal
Monitor and enroll Staffing Consultants in the NAPS Certification Program
Ensure testing is completed by the due date
Communicate results to the appropriate Director
9. Additional Responsibilities and other duties and projects as assigned to contribute to the success of the organization
Requirements
Critical eye for detail and overall high level of DAF (detail, accuracy, and follow through) Two-year degree from a college or technical school, with 3-6 months of related experience and/or training. 1+ year of administrative experience in an office environment Proven reliability by a great attendance record from job history
Personable and professional demeanor with willingness to help and coordinate as needed, while making a first impression for the company Language Skills: Demonstrate strong written and verbal communications
Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively to employees and organizations. Mathematical Skills: Ability to work with mathematical concepts, such as probability and statistical inference. Ability to apply concepts, such as fractions, percentages, ratios and proportions to practical situations.
Reasoning Ability: Ability to solve practical problems and deal with a variety of situations where only limited standardization exists. Interpret a variety of instructions furnished in written, oral, diagram or schedule form. Set priorities and exercise independent judgment. Uphold integrity with confidential matters and materials.
