Office Assistant

Minneapolis, MN

Humera is seeking an Office Assistant for our client in Minneapolis, MN. The Office Assistant will be responsible for managing and coordinating the daily front desk activities including the reception area, mail, print queue, phone, administrative and facility support. This role is hands-on and will assist and be part of the day-to-day office operations. This is a contract to hire opportunity.

Duties

  • Plan and oversee office events, such as new building open houses, company parties, celebrations, etc.
  • Ensure a welcoming experience and a lasting impression for visitors, clients, and our internal staff.
  • Manage the day-to-day operations of the facility, supporting items such as mail services and serve as the liaison for facility vendors (e.g. shredder and copiers services, office space changes and/or build outs, and general maintenance and repairs.)
  • Order supplies and office furniture.
  • Maintain front desk schedules to ensure coverage.
  • Oversee incoming and outgoing deliveries/pickup.
  • When machines break or need fixing, coordinate with IT and others to ensure everything is up and running.
  • Coordinate the professional cleaning of the office and look after building safety and security.
  • Evaluate office processes and production; research and present alternative methods to improve workflow.
  • Act as liaison between building management and the business regarding issues and activities.
  • Complete special projects and other duties as assigned.

Requirements

  • 1-3 years of experience in a professional environment involving facility and organizational support.
  • Attention to hospitality with a knack for making others feel at home
  • Top notch organizational skills with a love for solving problems
  • Possess high service standards
  • Ability to streamline business commitments and make the office run like clockwork
  • Ability to multitask and juggle several different matters at a time
  • Ability to work in a fast-paced environment and be flexible to change direction frequently
  • Ability to prioritize and delegate effectively to meet business needs
  • Excellent communication skills (written, verbal and interpersonal)
  • Deadline driven with strong attention to detail and organizational skills
