Executive Assistant

St. Paul, MN

Humera is seeking multiple Executive Assistants for our client, medical device manufacturer specializing in cardiovascular solutions, located in St. Paul. The Executive Assistant position will provide support and assistance to members of the Executive team. Successful individuals must be very organized, self-starters who initiate and anticipate, and excellent organizational, communication & computer skills. This role will require the ability to respond to urgent requests professionally and effectively. The Executive Assistant must be creative and enjoy working within a mission driven, results oriented environment. This is a contract opportunity.


  • Meeting and travel scheduling
  • Presentation creation utilizing PowerPoint
  • Attend meetings to record minutes when needed
  • Expense Reports
  • Compiling and consolidating information
  • General email communications; reminders, key dates, follow-ups, etc.
  • Operations team calendar and SharePoint site management
  • Large meeting and event coordination
  • Setting up conference calls and meetings
  • Lunch meeting food orders
  • Scheduling and setting up meetings such as steering committee meetings that involve multiple executives calendars
  • Corporate Development project planning (e.g., due diligence checklist tracking)
  • Mailing/FedEx
  • Proofreading documents with strong attention to detail
  • Compensation board meeting material preparation
  • HR team meeting management
  • Calendar management and coordination
  • Receive and direct all incoming telephone calls to the appropriate management personnel; take and direct messages when requested or as necessary
  • Perform work-related errands, as needed
  • Other duties as assigned


  • 5+ years of executive administration and office management experience
  • Bachelor’s Degree desired, minimum of Associate’s Degree required
  • 3+ years of working for multiple executives at the same time
  • Strong computer skills with Advanced level knowledge of Microsoft Office suite (Word, Excel, and PowerPoint), file storage and content management software
  • Advanced problem solving skills
  • Ability to offer support across several departments, with the capacity to prioritize across multiple requests
  • High degree of initiative and sensitivity in maintaining confidential matters with discretion
  • Excellent oral and written communications skills with strong interpersonal skills
  • Excellent organizational skills
  • Strong attention to details
